ACCEPTABLE USE POLICY

1. WHAT THIS POLICY COVERS
This Acceptable Use Policy ("AUP") sets out the rules that apply to every Accolade customer regardless of tier. It exists to keep the platform fair, safe, and stable for all users. Breaches may result in account suspension, back-billing, or termination.
2. WHAT COUNTS AS "ONE EVENT"
Tier limits on Free, Professional, Enterprise, and Agency plans are expressed in events. To prevent gaming, we define an "event" as follows:
- A single, distinct gathering of attendees with its own date or date range (up to 7 consecutive calendar days).
- Its own published programme, guest list, and ticket/RSVP flow.
- Its own branding, communications stream, and reporting.
Multi-day ceremonies count as one event provided they form a single continuous programme (e.g. a 3-day awards summit). Two separately marketed ceremonies on different dates count as two events even if they share a brand.
2.1 Specifically prohibited
You may not:
- Re-use a single event record to host multiple physical or virtual ceremonies that fall outside a single 7-day window.
- Rotate guest lists, sponsor lists, or category sets within a single event record to disguise running multiple events.
- Operate an "events agency" model on Professional or Enterprise tiers. Multi-event operation requires the Agency tier or, for one-off second events, the £500/month per-event add-on.
2.2 What happens if you exceed limits
We monitor event creation and active-record activity. If you exceed your tier's limits we will: (a) email you within 5 business days asking you to upgrade or remove the extra event; (b) if no response within 14 days, downgrade unused workspaces and back-bill the tier difference from the date of overage. We do not lock you out of your data.
3. CONTENT YOU MAY NOT UPLOAD OR SEND
You may not use Accolade to create, store, or send:
- Content that is unlawful in the UK or in the jurisdiction of the intended recipient.
- Content that infringes third-party intellectual property rights.
- Content that depicts or sexualises minors (children under 18).
- Content that promotes terrorism, incites violence, or constitutes hate speech.
- Personal data of individuals who have not consented or where you have no lawful basis to process their data under UK GDPR.
- Malware, phishing kits, ransomware, or any executable content designed to compromise systems.
- Spam — unsolicited bulk email outside the scope of legitimate event communications (nominee notifications, judge invitations, guest comms, sponsor outreach to opted-in contacts).
4. SECURITY AND ABUSE
You agree not to:
- Attempt to gain unauthorised access to any Accolade tenant, account, server, or system.
- Probe, scan, or test the vulnerability of the platform without prior written consent. To report a vulnerability responsibly, email security@accolade.live.
- Reverse-engineer, disassemble, or attempt to derive the source code of the platform.
- Use stolen, cloned, or fraudulently obtained payment instruments.
- Impersonate another organisation, individual, or Accolade itself in any communication sent from the platform.
5. AUTOMATED ACCESS AND SCRAPING
Automated access to the platform must be via documented API endpoints or your own data export tools. You may not:
- Scrape pages or workflows not exposed via the API.
- Send programmatic traffic at a rate that materially degrades platform performance for other tenants.
- Use the platform's outbound email infrastructure for any purpose other than event-related communications you control.
Reasonable use thresholds: 60 API requests per minute per tenant for Free/Professional, 300 per minute for Enterprise/Agency. Burst windows are negotiable for Enterprise and Agency on request.
6. RESALE AND SUBLICENSING
The Agency tier explicitly permits running events on behalf of paying client organisations. Free, Professional, and Enterprise tiers do not. Specifically:
- You may not resell access to the Accolade platform itself (e.g. selling logins) under any tier.
- On the Agency tier, you may charge clients for events you run on their behalf, and you may give those clients read-only seats in your Agency workspace.
- You may not white-label the Accolade platform as your own product to end customers unless you are on the Agency tier.
7. ENFORCEMENT
If we believe in good faith that you have breached this AUP, we may, depending on severity:
- Issue a written warning by email with a defined remediation period.
- Throttle API or email-sending rates.
- Suspend specific features (e.g. outbound email) pending review.
- Suspend the account entirely.
- Terminate the account without refund for material or repeated breaches.
For serious abuse (CSAM, terrorism, unauthorised intrusion, fraud), we may suspend the account immediately and without notice and report the matter to the relevant authorities.
8. APPEALS
If your account is suspended and you believe the action was incorrect, email support@accolade.live with the subject line "AUP appeal – [your org name]". We aim to respond within 5 business days.
9. CHANGES
We may update this AUP with 30 days' notice. Material changes will be emailed to account holders. Continued use after the notice period constitutes acceptance.
